Information We Collect
To provide our clients services, maintain the normal and secure operation of this service, and optimize the functional experience of this service, SMO will collect the personal information you voluntarily provide or authorize when registering. Your personal information includes:
Personal information refers to various types of information that can identify a specific individual’s identity or reflect a specific individual’s activities, whether recorded electronically or in other ways. Permissions for contacts, precise geolocation, camera, microphone, photo album, calendar, etc., are not enabled by default and will only be used with your explicit authorization when implementing specific functions or services. You can also revoke this authorization. It is particularly important to note that even if you grant us these sensitive permissions, we will not collect this information unless it is necessary for the related functions or services.
We collect personal information based on necessity. When the product opens system permissions (excluding cases where users themselves enable permissions in system settings), we will explain the purpose for which the personal information will be collected below.
- User Registration: To complete account creation, you need to provide the following information: your phone number, SMS verification code, or email address, and email verification code. The information you provide will be continuously authorized for our use during your use of this service. When you cancel your account, we will stop using and delete this information.
- Communication with Other Users: When you use this product to send text, images, audio recordings, location data, files, and other information, this is to facilitate the transmission and display of information, ensure that new members can view all historical messages at any time when joining a group, quickly integrate into the team and projects, and enhance work efficiency. This information will be temporarily stored on our servers. Once the information has been received, we will promptly delete the storage records from the server. To save space, we will also regularly clear out information that has not been received for an extended period.
- Account Public Information: You can fill out or set your avatar, account name, status, and other information according to your needs. This information that you voluntarily provide will be displayed to other users. Not filling out or setting this information will not affect your ability to use your SMO account and services.
- Team Users: We provide users with the functionality to apply to become authorized clients, allowing authorized clients to create teams and manage the team and its invited members independently. The following personal information will be collected, used, and processed according to the purposes and methods determined by the authorized clients. We will process this information solely based on the instructions of the authorized clients:
- Your name, avatar, personal signature, background image, alias, position, contact information (email, phone number, etc.), workplace, job title, job level, organizational relationship, and other information within your organization.
- Audio and video files, communication information, and other content generated by members of your organization during your use of this service.
- To meet the needs of daily business management and office security, you may be required to provide your basic personal information (such as contact information, gender, social media accounts), identification information (such as relevant identification documents), employment information (department, position, job level, etc.), educational background, salary and bank card information for payments, facial recognition data, geographic location, schedule information, access and attendance records, approval records, health status information, and other personal information entered, assigned, or requested by the client.
- To facilitate employee management and ensure network and data security, clients may also collect your operating system version number, IP address, network access method, type, status, device information, and hardware address of the network device (MAC address), as well as service logs.
- To enhance communication and collaboration between different members, clients may enable the organizational association feature. Your organization may share your necessary personal information and data generated during office collaboration with external collaborative organizations. This information may also be stored and accessed across borders depending on the partner. If you have any questions regarding this content or wish to assert your rights, you acknowledge and understand that you may contact the client or the client administrator for assistance.
- Other information that you are required to submit based on client management and operations, collaborative office requirements, or specific team management purposes.
When you use our services, it may request the following permissions from your device to provide additional features. Please note that by enabling any permission, you authorize us to collect and use the relevant personal information to provide you with the corresponding service. If you disable any permission, it means you revoke that authorization, and we will stop collecting and using personal information based on that permission, and we will not be able to provide the service related to that permission. You can refuse to enable the following permissions or turn them off in your phone’s settings. Turning off these permissions will not affect your use of other features of the software:
- Camera: You can use the camera to scan QR codes or read and display QR code content from photos in your camera.
- Local Storage: By enabling local storage permissions, you can download images, audio, videos, and files from the app to your phone’s storage, as well as upload your local images, audio, videos, and files to the app.
- Photos: You can directly select photos from your phone to upload, send during communication with other users, or upload for scanning or changing your avatar.
- Push Notifications: By enabling push notifications, you can receive system messages. You can manage your notification preferences by turning them off in the app or device settings.
- Wireless Data: You can connect to Wi-Fi or enable cellular data to use the app’s online features.
- Microphone and Voice Recognition: You can use the microphone to record short voice messages or during audio/video calls.
- Device Information: This includes identifiers like IMEI, IDFA, Android ID, MAC address, application information (like crash reports and notification status), and device parameters and system information (such as device type, model, and operating system).
- Network Information: This includes your IP address, Wi-Fi information, and base station information.
Information We Share With
- Third-Party Services: When you use products and services within the SMO platform or products and services from third parties, these products and services may use the system permissions you have authorized or may require you to submit personal information based on their requests. We will provide the necessary information for these services based on your authorization. You can refer to the relevant agreements or privacy policies of these products and services, and you can also revoke your authorization within those products and services. If you are an authorized user, the client administrator may provide some usage data to the service providers to enable you to use these products or services.
- Third-Party Account: When you use your SMO account to log in to related or third-party products or services, or when you bind your SMO account with related or third-party accounts, those applications or services will use your name, avatar, product installation status, device information, order information for purchasing third-party products, and any other information you have authorized.
- Authentication Services: When you use identity verification features or related services, you may be required to complete real-name authentication to verify your identity, in accordance with relevant laws, regulations, and security requirements. During the real-name authentication process, our partner authentication service providers will need to use your real name, ID number, phone number, and facial information. Some of this information is considered sensitive personal information. Refusing to provide this information will prevent you from completing the identity verification but will not affect your normal use of other SMO features. This information is only for real-name authentication and purposes specified by law and will not be used for any other purposes without your explicit authorization.
- Location Services: When you use location-related services, the location service provider (such as Google Maps) may use your GPS information and device information through SDKs or related technologies to provide you with location results. Location information is considered sensitive personal information. Refusing to provide this information will only affect the functionality of location services but will not impact the normal use of other features.
- Push Notifications: To adapt the message-push functionality to the terminal device model you are using, the device manufacturers (such as Huawei, Xiaomi, OPPO, VIVO, etc.) may use your phone model, version, and related device information through SDKs and other means.
Children’s Privacy
This Services do not address anyone under the age of 18. We do not knowingly collect personal identifiable information from children under 18. In the case we discover that a child under 18 has provided us with personal information, we immediately delete this from our servers. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact us so that we will be able to do necessary actions.
Security
Regardless of where your personal information is stored, we are committed to maintaining its privacy and integrity. Our information security and access policies restrict access to our systems and technology, and we protect data through measures such as encryption.
Unfortunately, despite our reasonable efforts to protect your personal information, transmitting information over the internet is not completely secure.
